What Does the Integration With Personio Look Like?

Setting up the interface

When a customer logs into PayFit, they can head to the Integration hub to set up the Personio integration. This requires them to input the API key from Personio onto PayFit, and select the filters defining which employees should be synced between Personio and PayFit. The next morning, PayFit checks the API key by authenticating with the Personio server. Should it be successful, PayFit pulls all employees on Personio that meet the filter conditions. For the employees that are matched i.e. those that are recognised to be the same people across both softwares, any changes in the fields on Personio will be pulled and applied onto PayFit.

In the background, PayFit runs a script every morning at 1am. The script:

  • Uses the API key provided by the customer to authenticate with the Personio server
  • If the authentication is successful, the script sets a list of matches between the existing employees on Personio and those that are on PayFit.
  • For all employees that are matched, PayFit compares the fields between the two softwares and updates the fields on PayFit whenever the fields from Personio are different (Personio is the source of truth)

Transfer of data

Customers can sync the following information from Personio to PayFit.

  • Employees’ personal details (name, address, phone)
  • Contract changes (job title, hours per week, department)
  • Contract termination (date, reason)
  • Salary changes
  • Annual leave
  • Sick leave
